How to set up the Profitability Dashboard inside ScanStation

Short answer

Install the current ScanStation release, buy the optional add-on from your existing account, then return to the app while online and open Profitability. Follow the dashboard's setup checklist, and check every input for one finished show before relying on its result.

Start with your ScanStation account

ScanStation is the base subscription. The Profitability Dashboard is a separate optional add-on: $79/month with monthly billing or $948/year with yearly billing, once per account, plus applicable tax. It adds no live stations and has no setup fee. Buy your base plan first if you are new, then choose the dashboard from your account. Existing customers keep their current base subscription.

Your add-on quote shows the exact Stripe charge, next renewal date and the linked policies. Read it and select the separate agreement checkbox before confirming. An app download or update never enrolls you in the add-on. Online purchase is available only when the product page offers it.

Use one business account for each ScanStation installation profile. Different businesses should use separate Windows or Mac logins. Sign in with your own account and authorize your own connections; changing the billing account is not a way to open another business's records.

Install, then refresh access

  1. Download the latest Windows or Mac installer from your ScanStation account and install it. Keep your usual Shopify setup and customer data folders.
  2. Sign the computer in to the same account that bought the add-on. Follow the normal ScanStation setup screen if this is a new installation.
  3. In the packing-list menu, choose Profitability — optional upgrade if the dashboard is locked. After payment, return to ScanStation while online; it refreshes your signed license to unlock the paid features.
  4. Open Profitability dashboard when access is enabled. If the app still shows an upgrade, select Refresh access after purchase inside the dashboard. Keep the purchase confirmation and contact support if it remains locked.

Choose where finished show records come from

Open the dashboard's Settings, then Automatic pickup. Choose the folder where this computer publishes its finished ScanStation shows. The usual location is ScanStation/Shows inside the computer's real Documents folder, or the shows folder you already selected. A finished show has a matching CSV and JSON pair; the dashboard checks the pair before accepting it.

Automatic pickup accepts completed show files marked for the signed-in account. Older files without an account mark need a reviewed migration; choosing their folder does not claim ownership or import them automatically.

Name the show and choose its seller in ScanStation. Finish the show before expecting automatic pickup. An open or reopened show waits; missing sellers, uncertain matches and conflicting records need review. Pickup checks while the paid add-on is active. It never renames or deletes the source show files.

Supply sales and check connections

For Whatnot, obtain the sales export from your seller account and import it into the dashboard. Station scans record which item sold; they do not, by themselves, supply the selling price or platform fees. Review the show and sale matches instead of guessing a match from a similar item name.

Optional supported Shopify cost, TikTok Shop and eBay connections are configured under Connections and need separate authorization. Use only the connections offered in your installed release. A connection does not authorize the dashboard to place orders, take payments or change selling-platform stock. Read the on-screen permissions before connecting.

The read-only Shopify cost connection requires a Shopify store whose currency is USD and valid item costs in whole US cents. It does not convert foreign currencies or round fractional cents. A missing Shopify unit cost stays unknown; an explicitly entered zero cost is valid. Existing saved historical costs are not recalculated by connecting or updating.

Set costs, fees and commissions for your own business

Dashboard reports use US dollars (USD). Sales exports, item costs, fees and commission inputs must all be in USD; the dashboard does not convert currencies. Check adjustments, platform credits and payouts against the original platform statements. Missing or invalid amounts need review and must not be treated as zero.

  • Item costs: enter or confirm the actual costs available for your inventory. An unknown cost is not a free item.
  • Platform fees: check your current platform/category terms and confirm the inputs. Do not treat a default or a generic percentage as your actual fees.
  • Sellers and Commission plans: use your own seller names and payment rules. Do not copy another business's commission plan.
  • Review missing or incomplete inputs. The result is an estimate from the data provided; expenses you do not enter are not included.

Check one show before relying on the totals

  1. Choose one finished show and confirm its date, name, seller and items against the ScanStation packing list.
  2. Confirm the imported revenue and fees against the original sales export or supported platform records, including adjustments that affect the result.
  3. Check the item costs and commission rules, and resolve missing-input warnings.
  4. Review the resulting report and CSV export against your own records. Keep using your books; the dashboard is not accounting, tax or payroll advice.

Keep your records and backups

Financial records live on your computer, outside the installed ScanStation code. Use Records & backups to check their location and keep your own complete backups. DLM does not host a copy and cannot restore your ledger. A cloud-synced backup folder is handled by your cloud provider; it is not automatic multi-computer ledger synchronization. Never run two dashboards against one shared ledger folder.

The dashboard keeps records and connections in a folder owned by your account, including when you choose a cloud backup location. Full sign-out leaves the files in place but closes access in the app. Sign back in as the same owner to regain access; do not share a connection file or restore another account's backup.

If you already have a standalone dashboard with real records, ask support to plan the migration before importing or changing folders. Keep the old installation and a verified complete backup as a fallback. Do not overwrite an existing ledger with a fresh setup.

Remove the add-on without ending ScanStation

In your ScanStation account, use Remove only the dashboard add-on now. This stops future add-on renewal charges while keeping your base plan and its existing end date. Unused paid time becomes an invoice credit, not a cash refund; unpaid time is not credited. Your computer reflects the removal when its license refreshes.

After removing the add-on while keeping ScanStation, the same signed-in account can still read and export its saved reports. Imports, financial edits, new connections and automatic pickup require active dashboard access. Removing the add-on never stops a running ScanStation show. If you also end the base plan, use the updated app to verify the same account by email code or license key, then choose View saved profitability reports. That verifies ownership for read and export only; it does not restart ScanStation service or the paid dashboard. Keep complete backups before signing out or changing installations.
