Short answer
Scan each item as it sells and ScanStation puts it on the packing list under that sale's number, with a bundle's items kept together under one number. When the show ends, the list is already in sale-number order: print it or download it as a CSV.
How the list builds while you scan
Every scan sells one item and gives it the next sale number: 1, 2, 3, in order. The item goes on the list under that number right away, so when the show ends the packing list is already done.
The printed list has one block per sale, in sale-number order: a checkbox for the packer, the sale number, and each item's name and UPC. The top gives the show's date (and its name and seller, if you added them), your Shopify location, and the count of sales and items.
Keep sale numbers matched to the stream
The next sale number sits at the top of the scan screen. If it drifts from your count on the stream, click it and type the right one (close any open bundle first). Set it to an earlier, empty number and the next sale fills that gap; then the count carries on where it left off.
To fix a sale already on the list, click its row: Change sale #, replace the item, add an item to that sale, or remove the row, which puts the item back in stock. If that leaves a number with no items, ScanStation offers to move every later sale down by one; if the buyer really did back out, keep the gap.
Bundles: one buyer, several items
When one buyer takes several items, click Start bundle and scan them all. Every scan joins the same sale number until you click Close bundle, so they sit together on the packing list.
Undo last puts the most recent item back in stock and takes it off the list. If it was the only item in its sale, its number is handed back, so the right item scanned next gets the same sale number.
Items without their own listing
If you've set up a generic product in ScanStation for things without their own listing, scanning it asks “What is this item?”, and what you type goes on the packing list in place of the generic name. Shopify isn't changed.
Print it or download it
Open the Packing list menu at the top of the scan screen. Print packing list opens it ready for Letter or A4 paper, and Save as PDF in the print window keeps a copy. Download as a spreadsheet (CSV) gives the same rows, with Sale, Product, UPC and Time, then Show, Seller and Date. Both come from your computer, so they work without internet.
Starting a new show clears the list and sets the next sale back to #1. Every row from the last show stays saved on the computer, and Undo new show brings it back for up to ten minutes, as long as nothing has been scanned into the new show.
If the internet drops mid-show
Keep scanning. When ScanStation can't reach Shopify, the sale still gets its number and goes on the list, marked as waiting, and it's saved on your computer. The top of the screen shows how many are waiting for Wi-Fi. ScanStation keeps trying, and when the connection is back it sends them to Shopify in order.
- Until a waiting sale reaches Shopify, Shopify still counts that item as available.
- On the packing list a waiting sale shows “(queued)” by its number, and may show its barcode in place of its name, so print once nothing is waiting.
- Undo cancels a waiting sale before it ever reaches Shopify.
- A waiting barcode that turns out not to match a product in your store is flagged on its row.
