How to keep Shopify inventory accurate when you sell on eBay Live

Short answer

Items whose eBay listing is linked to their Shopify product, for example through Shopify's Marketplace Connect app, update their own stock when they sell. For anything else you sell on the stream, scan the real item as it sells, and ScanStation takes it off its Shopify “available” count.

How eBay Live listings work

eBay Live is eBay's livestream selling, open to business sellers and sole proprietors who meet eBay's requirements, in categories that include collectibles, luxury, sneakers, apparel, sporting goods, home and garden, health and beauty, and electronics.

eBay's help page says each event can hold up to 750 listings, as Auction or Buy It Now. You can import them from your eBay store, create new ones in bulk from a template, or add more from the Stream manager during the event.

Where Shopify keeps up, and where it can't

Shopify's Marketplace Connect app connects a Shopify store to eBay. Shopify's help says it syncs orders and inventory for eBay listings once they're linked to your Shopify products, so when a linked listing sells on your stream, its Shopify stock comes off by itself.

A listing that isn't linked to the real item's Shopify product can't do that, such as a numbered listing like “Sneakers 1” that you created on eBay for the event and never linked. Shopify still shows that item as available, and it can sell twice.

Scan what the sync can't see

  1. An item sells on your eBay Live stream from a listing that isn't linked to it in Shopify.
  2. You scan the real item's barcode.
  3. ScanStation takes 1 off that item's “available” count in Shopify, at the location you chose, and puts it on the packing list under its sale number.
  4. Scanned the wrong thing? Undo puts it back.

ScanStation connects only to your Shopify store. It doesn't connect to eBay, so nothing changes in how you run the event.

Don't scan an item twice

If the item sold from a listing that's linked to it, the sync has already taken it off. Scanning it as well takes it off twice. Scan only what sold from listings the sync doesn't know about.

After the event

eBay holds the event's paid orders for 8 hours after the scheduled start, so buyers can use your combined shipping discounts. Then they move to Awaiting Shipment, where you combine orders and print labels.

ScanStation's packing list is ready as soon as you stop scanning: every sale in sale-number order, with each item and its barcode, to print or download as a CSV.
